Requesting a Public Record

The Town Clerk’s office maintains records for the Town of Mead. Records are available for public inspection in the Town Clerk’s office Monday-Friday 8:00 am-4:30 pm. The Board of Trustees adopted an Open Records Policy to make public records available for inspections at reasonable times.  

The Town Clerk is the official custodian of all public records, except criminal justice records, and will process all requests for public records. A Public Records Request form (below) must be filed with the Town Clerk to initiate a request for public records. This policy applies to public records of the Town and the Mead Urban Renewal Authority. **For police reports or any police departments records, please contact the Mead Police Department.

Procedures

The Town Clerk will notify the applicant of the completion of process of a public records request, the availability of the public records, and the cost of service, including copying charges for any requested copies and research or other fees. Records subject to nondisclosure by law or under the act will be withheld from inspection as provided by the Act. The Town has three working days to process requests, and in extenuating circumstances, up to seven working days to respond to open records requests.

Fees

The Town’s research and retrieval fee is $33.58 per hour, after the first hour of work. Fees are associated for copies or requests that require significant staff resources to complete. If the Town Clerk reasonably believes that fulfillment of any request may result in more than one hour of staff time to research, retrieve, segregate or prepare the records the Town Clerk may require a monetary deposit before commencing work. If the estimated cost of complying with the open records request is $50.00 or more, the applicant may be required to pay a deposit. 

B&W copies:  $.25 per page (up to 11 x 17 paper copied on the Town’s machine)

Color copies: $1.00 per page (up to 11 x 17 paper copied on the Town’s machine) 

Certified copies: $1.00 additional per document

Electronic Copies:  $0.00 per page

Large Format Copies, Disks, Audio, Photograph reproductions: Actual cost

If you are requesting copies of files; please indicate how you would like to receive those files.
I understand that my request may be subject to charges for paper copies and/or research and retrieval. I confirm my request for the records described and agree to pay any changes at the time the records are made available. If the request is over $50.00, I understand I will be asked to provide a deposit for the cost incurred to obtain the records.
